Payroll Administrator (Construction Industry)

Location: Sacramento, CA
Compensation: $38-$46 per hour
Schedule: Full-time | 100% In-Office


Position Summary

The Payroll Administrator is responsible for managing all payroll and certified payroll functions for a construction company in Sacaramento, CA. This role works closely with the leadership team to ensure accurate, compliant, and timely payroll processing in accordance with federal, state, and prevailing wage requirements. The position supports both internal operations and external reporting obligations for multiple construction projects.


Essential Duties and Responsibilities

Payroll Administration

  • Configure, maintain, and manage payroll systems and related databases.
  • Process weekly and bi-weekly payroll from start to finish.
  • Enter and review employee timecards for accuracy.
  • Process reimbursements, deductions, and garnishments in compliance with applicable laws.
  • Audit payroll registers and reconcile discrepancies prior to final processing.
  • Generate direct deposits and issue live payroll checks.
  • Prepare and submit retirement contribution reports.
  • Calculate payroll taxes and ensure timely electronic submission.
  • Calculate and submit health savings account deductions.
  • Reconcile payroll, benefit, and related liability accounts with the general ledger and job cost system.
  • Post payroll journal entries and prepare checks for distribution.

Certified Payroll & Compliance

  • Prepare and submit certified payroll reports on a bi-weekly basis; weekly for applicable federal projects.
  • Track, calculate, and report prevailing wage training fund contributions and submit required documentation.
  • Maintain employee timekeeping and payroll records.
  • Track vacation and sick leave balances monthly.
  • Prepare payroll-related statistics for operations and safety teams as requested.
  • Complete annual W-2 processing and distribution.
  • Support workers' compensation and general liability insurance audits, including interim and year-end reporting.

Qualifications & Requirements

Education and Experience

  • Bachelor's degree in business, finance, accounting, or a related field OR
  • A minimum of 5+ consecutive years of progressive experience in construction accounting, including general ledger exposure.

Skills & Abilities

  • Strong verbal and written communication skills with the ability to interact professionally with employees, management, and external partners.
  • Solid mathematical skills, including working with whole numbers, fractions, and decimals.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, and Word.
  • Ability and willingness to use computers, tablets, and mobile devices to complete work tasks.
  • Highly organized, detail-oriented, and capable of managing multiple responsibilities simultaneously.
  • Ability to interpret written and verbal instructions accurately.
  • Self-motivated, dependable, and deadline-driven.
  • Strong team collaboration skills with the ability to support company-wide goals.
  • Demonstrated understanding of construction processes, systems, and compliance requirements.
  • Ability to identify issues and contribute to effective problem resolution.
